Data Protection Policy
It is a matter of course for us to respect your personality rights. This also applies to the handling of personal data during your visit and use of this website. Therefore, we act in accordance with the data protection laws of the Federal Republic of Germany and the data protection regulations of the European Union. In the following, you will learn how we deal with your personal data and, in particular, which data we collect, process and use for what purposes.
1 Scope of this Data Protection Policy
This Data Protection Policy applies to the use of the websites offered by Compex Systemhaus GmbH, Hebelstraße 22, 69115 Heidelberg, Germany (hereinafter referred as “Compex” or “we”), which you can reach at www.osbee.org (hereinafter referred to as "OS.bee Websites"). This Data Protection Policy is not applicable to other websites of Compex or to the websites of other service providers to which the OS.bee Websites refer by means of a link.
2 Personal Data
Personal data are any information concerning the personal or material circumstances of an identified or identifiable natural person. The basic personal data is your name. However, your gender, your date of birth, your address, your occupation, your e-mail address and your IP address are personal data as well provided that these data are associated with your name or we can assign them with the means at our disposal. On the other hand, non-personal data are those with which the determination of your actual identity is impossible or at least a considerable effort is required. This includes, for example, the aforementioned information if we receive it anonymously or under a pseudonym and, therefore, cannot assign them to any natural person.
3 Principle of Anonymity
When using the OS.bee Websites, you remain anonymously, as long as you do not voluntarily provide us with personal data, by using our contact form, registering for a user account or entering data as a registered user (e.g., by posts in our forum).
4 Collection, Processing and Use of Personal Data
4.1 We automatically collect data on which IP address is assigned to your computer, which browser and which operating system you use, and which pages of the OS.bee Websites you are viewing at which time. This data is stored and processed on our web server only until you leave the OS.bee web pages again. An additional short-term storage in webserver logfiles takes place for caching purposes only. Beyond that we do not store the beforehand mentioned data in logfiles or otherwise. However, please be aware that we use Google Analytics and, thus, your IP address might be transferred to Google servers as explained in section 15.
4.2 In all other respects, we collect, process, or use personal data from you only if you voluntarily make this available to us of your own accord and it is legally permitted or you have given your consent. We use the personal data provided by you exclusively to the purposes stated in this Data Protection Policy unless you have explicitly consented to any use beyond.
4.3 We do not transfer, sell or otherwise transmit your personal data to third parties. This shall not apply if a transfer, sale or any other transmission is necessary for the execution of the communicated or agreed upon purposes and is permitted without consent under applicable data protection law or if you have expressly consented in advance.
5 User Account
5.1 For registering a user account on the OS.bee website, we need your family and first name, the company full address for which you will use the user account, your e-mail address, a pseudonym of your choice and a password (hereinafter collectively referred to as "User Data"). If you want to purchase for the first time software products or other services in the „Solutions“ area of the OS.bee Websites, we request the applicable VAT-ID No. Should you register from outside the European Union and, thus, do not have a VAT-ID No., please contact us before registering. When registering a user account, your IP address as well as the date and time of the registration will be stored in order to be able to provide evidence in case of misuse of the used e-mail address.
5.2 We collect, process and use the User Data to make available to you the extended functions of the OS.bee Websites (e.g., forum, blog) linked to an active user account. The collection, processing and use shall be carried out for the following purposes:
- Participation in the forum (see also section 6)
- Comment function of the blog (see also section 6)
- Blog subscription (see also section 7)
- Personalized messages via e-mail (see also section 8)
- Use of the contact form (see also section 9)
- Access to test versions of add-ons and apps
- Access to technical documents in the restricted user area
- Access to the video gallery
5.3 After your registration, you will receive an e-mail from us with a link to confirm your registration. We will not set up your user account before you have clicked on the confirmation link in this e-mail and we have received your confirmation (so-called double-opt-in procedure). With this confirmation, you also declare that you are the owner of the e-mail address you provided and that you wish to set up the user account. If your confirmation does not arrive within twenty four (24) hours, your registration will automatically be deleted from our database.
5.4 Provided that you have agreed to the transfer of your data to us as described above, you have made the following consent: "Yes, Compex Systemhaus GmbH may collect, process and use my data for setting up and providing my user account as well as for enabling me to use the functions of my user account. In addition, I agree with the receipt of personalized messages via e-mail. With respect to the aforesaid, I acknowledge the Data Protection Policy. I can revoke this consent with effect for the future at any time."
5.5 You can delete your user account at any time using the delete function of your user account. After deletion, we continue to store your User Data as long as and to the extent that we are obliged to do so under the statutory duties to preserve records or if we still require your User Data to carry out or process an existing contractual relationship with you. Your User Data will be blocked for other purposes during this period. Your posts in the forum and your comments in the blog remain unaffected; they will still be stored and continue to be publicly accessible on the Internet (see sections 6.2 and 7.6).
6 Forum and Adding Comments to the Blog
6.1 You can actively participate in the OS.bee community by writing posts, replying to or subscribing to posts in the forum or by adding comments to our blog entries. For the use of these functions of the OS.bee Websites, a user account is required which is subject to the provisions of section 5.
6.2 We will store all posts to the forum as well as all comments to the blog for an unlimited period of time. We process and use your posts and comments to make them accessible to all users of the OS.bee Websites, including those who do not have a user account. All contributions are thus freely and publicly accessible on the Internet. Other users logged into a user account can also quote, comment, and reply to your posts in the forum and add comments to the blog. In our forum, all users of the OS.bee Websites see the pseudonym, the date of registration of your user account and the number of posts you have written.
6.3 You agree that we process and, in particular, that we store, use and publish your contributions and comments as set forth in section 6.2 above. You can at any time revoke your consent with effect for the future by deleting your user account according to section 5.5.
7 Blog Subscription
7.1 You can subscribe to our blog in order to trace our activities in the OS.bee community. Your e-mail address is required for your subscription. We appreciate if you provide us with your name during the subscription process; but this is not mandatory. When subscribing to the blog, your IP address and your name, if declared, as well as the date and time of subscription will be stored in order to be able to provide evidence in case of misuse of the used e-mail address.
7.2 Beyond the blog subscription, we collect, process, and use your name and e-mail address that you gave us within the context of that subscription in order to send you personalized messages by e-mail as provided in section 8 and blog updates. We provide you with those personalized messages until you unsubscribe from receiving them.
7.3 After your blog subscription, you will receive an e-mail from us with a link to confirm your subscription. We will not release your subscription to the blog before you have clicked on the confirmation link in this e-mail and we have received your confirmation (so-called double opt-in procedure). With this confirmation, you also declare that you are the owner of the e-mail address you provided and that you want to subscribe to the blog. If your confirmation does not arrive within twenty four 24 hours, your subscription will automatically be deleted from our database.
7.4 Provided that you have agreed to the transfer of your data to us for blog subscription purposes, you have made the following consent: "Yes, I would like to subscribe to the OS.bee blog and I agree with the receipt of personalized messages via e-mail. With respect thereto, I acknowledge the Data Protection Policy. I can at any time unsubscribe and may at any time revoke this consent with effect for the future."
7.5 Without your consent, the e-mail address you communicate to subscribe to our blog will not be used for any other purposes (receipt of personalized messages exempted) and it will not be disclosed to any third party.
7.6 You can unsubscribe from the blog by e-mail at any time via the unsubscribe link that you find in each of the blog e-mails. It is also possible to unsubscribe in writing (contact details, see section 17) and by e-mail to unsubscribe@osbee.org. After you unsubscribe, your e-mail address will be deleted from our blog related e-mail distribution list. Your name, if declared, and your e-mail address will continue to be stored as long as and to the extent that we are obliged to do so under the statutory duties to preserve records or if we still need your data to carry out or process an existing contractual relationship with you. Your data will be blocked for other purposes during this period.
8 Personalized Messages
8.1 When you register a user account or subscribe to any electronic communication we offer on our OS.bee Websites other than the contact form according section 9, we will use your name, if declared, and e-mail address also to send you personalized messages.
8.2 For the creation of personalized messages, we take into consideration the software products and other services you purchased in the „Solutions“ area of the OS.bee Websites or that have been stored by you in your user account as “saved carts”.
8.3 Without your consent, the e-mail address you communicate to receive personalized messages will not be used for any other purposes (blog subscription exempted) and it will not be disclosed to any third party.
8.4 You can unsubscribe from the receipt of personalized messages by e-mail at any time via the unsub-scribe link that you find in each of the e-mails sending you such messages. It is also possible to un-subscribe in writing (contact details, see section 17) and by e-mail to unsubscribe@osbee.org. After you unsubscribe, your e-mail address will be deleted from our e-mail distribution list for personalized messages. Your name, if declared, and your e-mail address will continue to be stored as long as and to the extent that we are obliged to do so under the statutory duties to preserve records or if we still need your data to carry out or process an existing contractual relationship with you. Your data will be blocked for other purposes during this period.
9 Contact Form
9.1 If you contact us via the contact form, you agree that we may process and use your message with your given contact data for the purpose of answering and contacting you provided that we do neither disclose your message nor your contact data to any third party.
9.2 Provided that you have agreed to the transfer of your data to us by means of the contact form, you have made the following consent: "Yes, Compex Systemhaus GmbH may process and use my data entered above as well as my message for the purpose of handling and responding my message. With respect thereto, I acknowledge the Data Protection Policy. I may revoke this consent with effect for the future at any time."
9.3 We will only process and use the data provided to handle your message and to respond to it. You can revoke your consent at any time (see section 17). We will continue to store your contact data thereafter as long as and to the extent that we are obliged to do so under the statutory duties to preserve records or if we still need your data to carry out or process an existing contractual relationship with you. Your data will be blocked for other purposes during this period.
10 Revocation of Consent
According to the statutory provisions, you have the right at any time to revoke your consent to the collection, processing and use of your personal data for the future. To do this, please refer to the body indicated in section 17 below.
11 Correction, Blocking and Deletion of Data
Under the applicable data protection law, we are obligated, on request, to correct, block or delete the data recorded on you. The correction, blocking or deletion of the data shall apply in such a case in accordance with the requirements pursuant to § 35 of the German Federal Data Protection Act. To do this, please refer to the body indicated in section 17 below.
12 Use of Cookies
12.1 On the OS.bee Websites, we use so-called cookies. These are small text files, which will be stored on your computer. Most of the cookies we use will be deleted from your hard disk after the end of the browser session (so-called session cookies). Other cookies remain on your computer and allow us to recognize your computer on your next visit (so-called "persistent cookies"). Except for Google Analytics (see section 15 below), we do not use third-party cookies, which allow third parties to collect, process or use your personal data.
12.2 As soon as you visit the OS.bee Websites, you will be informed about the use of cookies. You can refuse the storage of cookies on your computer by pressing the "Reject" button. In this case, we use a so-called refusal cookie that does not contain any personal data and prevents us from storing other cookies on your computer. The refusal cookie is named cookieconsent_dismissed. Certain functions of the OS.bee Websites cannot be fully used after refusing cookies.
12.3 If you accept the use of cookies by pressing the "Got it" button, the following session cookies will be set:
- PHPSESSID: Storage for PHP session id
- fe_typo_user: Distinguishes the user, used by TYPO3
- cookieconsent_dismissed: Hides the cookie consent bar
- _ga: Distinguishes the user, used by Google Analytics
- _gid: Distinguishes the user, used by Google Analytics
- _gat: Distinguishes the user, used by Google Analytics
12.4 The content of the cookies will be encrypted in order to prevent third parties from gaining unauthorized access to the data contained therein.
12.5 When using third-party content on the OS.bee websites (e.g., YouTube videos) or in the case of a link, third-party cookies may be used without our express warning. The current browsers allow you to customize the processing of such cookies so that you can deactivate the storing of these cookies or set the type of processing by your browser or delete these cookies.
13 Social Media Plug-ins
13.1 We are currently not using social media plugins on the OS.bee Websites. Nevertheless, we display social media buttons for the following social networks without activating them unless you do so:

- LinkedIn, www.linkedin.com
- Twitter, www.twitter.com
13.2 Instead of using social media plug-ins of the social networks mentioned in section 13.1 above, we decided, for the purpose of increasing data protection, to use the so-called Shariff solution (http://heise.de/-2467514). When you visit the OS.bee Websites, the Shariff solution prevents in the first instance personal data from being transferred to the social network providers. Only the social media buttons will be displayed on the respective OS.bee Websites. Behind the social media buttons we have implemented a link to the respective social network that connects you as a user of the OS.bee Websites with the respective social network not until you actively click on one of the displayed social media buttons. In this case, if you have been already logged-in on the relevant social network, the connection to Facebook, Google+ LinkedIn will be made without opening another window. However, in the case of Twitter a pop-up window appears where you can create the text of the tweet. When you activate the respective plug-in via the social media button, personal data will be transferred automatically to the respective social network provider and will be stored there, i.e. with the provider in the United States of America. We have neither influence on the collected data and data processing processes, nor are we aware of the full extent of the data collection, the purposes and the storage periods.
13.3 As far as we know, the social network providers store the collected data in the most cases in the form of user profiles and use them for purposes of advertising, market research or the need-based design of their website. Such exploitation will be carried out, in particular, to display personalized advertising and to inform other users of the social network about your activities on the OS.bee Websites; also non-logged-in users of the respective social network are subject to this exploitation. For more infor-mation on the purpose and scope of the data collection and its processing by the social network provider, please refer to the privacy statements of these providers on their websites. 14 iFrames and Embedded Content
14.1 We use iframes (inline frames) on the OS.bee Websites to include embedded content of the following providers:
- SlideShare, www.slideshare.net
- Twitter, www.twitter.com
- YouTube, www.youtube.com
14.2 When you visit a webpage of the OS.bee Websites containing one of the iframes mentioned above in section 14.1, your browser will establish a direct link to the provider's servers to transfer embedded content from there to your browser. This content will be integrated into the OS.bee Websites via the iframe so that it will be displayed as a kind of mini web page in the OS.bee Website you are visiting. You cannot see that at this time you are surfing on two websites simultaneously. The provider's Inter-net address will not be displayed.
14.3 The provider of the embedded content, which is displayed to you via the iframe, will be informed by the direct connection to your browser that you have visited the corresponding OS.bee Website. If you are at this time logged into your user account registered by the provider, the provider can assign your visit of the OS.bee Website to your user account there even if you do not click on the embedded content offered by the iframe (e.g., a YouTube video). If you decide to click and use the offered content, the provider will find out. Your browser then sends further usage data to the respective provider which can be stored and reused by this provider.

15 Google Analytics
15.1 We use the Google Analytics web analytics service on the OS.bee Websites. Provider is Google Inc., 1600 Amphitheater Parkway Mountain View, CA 94043, USA. Google Analytics uses so-called cookies. These are text files that are stored on your computer and allow analyzing how you use the website. The information generated by the cookie about your use of this website will normally be trans-ferred to a Google server in the USA and stored there.
15.2 However, in the case of the activation of the IP anonymization on this website, your IP address will be previously abridged by Google within the Member States of the European Union or in other Contracting States of the Agreement on the European Economic Area. Only in exceptional cases will the full IP address be transferred to a Google server in the USA and abridged there. On our behalf, Google will use this information to analyze how you use the OS.bee Websites, to compile reports on website activity, and to provide us with other services related to website and internet usage. The IP address transmitted by your browser as part of Google Analytics will not be amalgamated with other Google data.
15.3 You can prevent the storage of cookies by customizing your browser software; however, we would point out that in this case you might not be able to fully exploit all functions of the OS.bee Websites. In addition, you can prevent Google from collecting the data created by the cookie with respect to your use of the OS.bee Websites (including your IP address), as well as the processing of this data by Google by downloading and installing the browser plug-in available at the following link: http://tools.google.com/dlpage/gaoptout?hl=en
15.4 You can also prevent the collection of data by Google Analytics, which you create on the OS.bee Websites and which are stored in the cookie, by activating the link below. An opt-out cookie will be stored on your computer that prevents the future collection of your data when you visit the OS.bee Websites (but this does not apply to other websites that you visit and other browsers that you use on the same computer): Deactivate Google Analytics. This alternative is particularly suitable for mobile devices. If you choose to do so, do not delete the opt-out cookie. Otherwise, you will lose the protection this opt-out cookie provides until you reinstall it.
15.5 Google Analytics has been extended on the OS.bee Websites by the code "anonymizeIp". The use of this code leads to an anonymous collection of your IP address by the so-called IP masking. The last octet of your IP address is set to zero from that. For IPv6 addresses, this affects the last 80 of the 128 bits. This is still done in the random access memory before the data is written to the hard disk (see also https://support.google.com/analytics/answer/27630).

16 IT Security
We take various technical and organizational security measures to protect your personal data from loss and misuse. Your data is stored in a secure operating environment that is not accessible to the public. In certain cases, your personal data will be encrypted during transmission by the so-called Transport Layer Security (TLS) (formerly Secure Socket Layer Technology (SSL)). This means that the communication between your computer and the servers of the OS.bee Websites is done using a recognized encryption method, which is deemed to be valid in the following version (currently TLS version 1.0, 128 bit). If your browser supports TLS, the transfer of personal data is protected by this feature. In this case, most browsers show you whether the security protocol is supported by a short dialog box or by a graphic symbol. You can find more information using the help of your browser.
17 Right to Information and Privacy Issues
17.1 On request, we will inform you if and which personal data about you have been stored with us.
